This Privacy Policy governs the manner in which Peterson Technology Partners, Inc. (“PTP,” “Company,” “Organization,” “we,” “our,” or “us”) collects, uses, maintains, and discloses information collected from users (each, a “User”) of the petegabi.com website (“Site”) and through our proprietary conversational AI products and services, including Olivia AI and Rebecca AI (collectively, the “Services”).

Pete & Gabi is an AI platform and brand developed, owned, and operated by Peterson Technology Partners, Inc. This privacy policy applies to the Site, our web interfaces, and all conversational AI products and recruitment services offered under the Pete & Gabi brand.

    This policy supports SOC 2 Trust Services Criteria for Security and Confidentiality, alongside ISO 27001, CCPA, and GDPR compliance standards implemented across PTP’s infrastructure.

  2. Scope

    This policy applies to all personal data collected or processed through petegabi.com, our AI voice and messaging applications, enterprise client integrations, and interactive candidate sessions. It applies to personal data relating to:

    • Visitors and registered users of petegabi.com.
    • Candidates, job applicants, and individuals interacting with our conversational AI products (Olivia AI and Rebecca AI).
    • Client representatives, business partners, employees, and contractors, subject to applicable data protection laws.
  3. Definitions
    • IP Address: A unique string of characters that identifies each computer or connected device using the Internet Protocol to communicate over a network.
    • Personal Data: Any information relating to an identified or identifiable individual (e.g., name, email, phone number, voice recording, resume data).

    • Conversational AI Products: Pete & Gabi’s automated calling, screening, and candidate engagement solutions, including Olivia AI (outbound/inbound conversational voice calling) and Rebecca AI (conversational AI recruiting and candidate evaluation).
  4. Roles: Data Controller vs. Data Processor

    Depending on how you engage with Pete & Gabi, PTP operates under different legal capacities:

    PTP as a Data Controller:

    When you interact directly with petegabi.com, inquire about our platform, create an account, or engage with our services for direct internal recruitment by PTP, PTP acts as the Data Controller responsible for determining how your data is handled.

    PTP as a Data Processor for Client Data (Olivia AI & Rebecca AI):

    When enterprise clients license or deploy Olivia AI and Rebecca AI, the client acts as the Data Controller. Clients collect and supply candidate/customer personal data (e.g., contact lists, candidate profiles, interview requirements) to us, or direct us to collect it on their behalf via automated AI calls and screenings.

    In these circumstances, PTP acts strictly as a Data Processor (Service Provider). We process this personal data solely on behalf of, and in accordance with, the documented instructions and service agreements of our clients. PTP does not own, sell, or independently repurpose client-supplied data. Individuals seeking to modify, access, or delete data submitted through a specific client’s deployment of Olivia AI or Rebecca AI should direct their request directly to that client.

  5. Responsibilities
    • Information Security Group (ISG): Responsible for developing, implementing, maintaining, and enforcing this policy across PTP and Pete & Gabi systems.
    • Employees & Contractors: Responsible and accountable for ensuring adherence to this policy’s terms during their day-to-day job duties and technical operations.
  6. Data We Collect

    Depending on your interaction with petegabi.com and our AI products, we may collect and process:

    • Identification & Contact Information: Name, email address, phone number, mailing address.
    • Account Information: Client login credentials, administrative usernames, passwords, account preferences.
    • Candidate & Professional Data: Resumes, work history, education, technical skill sets, professional licenses, availability, and screening responses.
    • Voice, Audio & Conversational Data (Olivia AI & Rebecca AI): Call audio recordings, synthetic/recorded voice inputs, real-time speech-to-text transcriptions, call duration, timestamps, conversation summaries, and performance evaluation metrics.
    • Technical & Usage Data: IP address, browser type, device identifiers, operating system, telecom routing data, call disposition, cookies, and website usage analytics.
    • Financial Information: Corporate payment details and billing addresses for client accounts.
    • Sensitive Personal Data: Processed only where strictly necessary, legally permissible, or with explicit consent.
  7. How We Collect Data
    • Directly From You: When you request a demo on petegabi.com, submit contact forms, configure an account, or interact directly with our team.
    • Through AI Interactions (Olivia AI & Rebecca AI): When you participate in an inbound or outbound voice screening or interactive conversational session powered by our AI agents. Calls are recorded and transcribed in real time for screening accuracy and documentation.
    • Provided by Our Enterprise Clients: When clients upload contact lists, applicant profiles, or job specifications to deploy Olivia AI or Rebecca AI workflows.
    • Automatically: Through cookies, server logs, telephony metadata, and analytics tools as you navigate petegabi.com.
    • Third-Party Sources: Integrated business platforms, job boards, and verified partner networks.
  8. Legal Bases for Processing Personal Data

    We process personal data only when permitted by applicable law:

    • Contractual Necessity: To deliver our conversational AI services, execute client agreements, and manage platform accounts.
    • Legitimate Interests: To prevent fraud, maintain system security, refine transcription and AI agent accuracy, and improve Pete & Gabi platform features.

    • Operating, maintaining, and enhancing the petegabi.com platform.
    • Powering conversational phone automation via Olivia AI and candidate assessment workflows via Rebecca AI.
    • Generating automated screening notes, call transcripts, and interview summaries for our enterprise clients and recruitment teams.
    • Processing client transactions and administrative account management.
    • Ensuring telecommunications compliance, call quality, system uptime, and fraud prevention.
    • Complying with applicable legal, labor, and data protection regulations.
  10. Data Sharing and Disclosure

    We do not sell personal data. We may share personal data under the following circumstances:

    • With Enterprise Clients: If you complete an AI screening via Olivia AI or Rebecca AI, your interview responses, transcripts, and evaluation metrics are shared directly with the prospective employer or hiring organization.
    • Service Providers & Sub-processors: Trusted third-party vendors who provide necessary infrastructure (e.g., cloud hosting, telephony carriers, speech recognition APIs, database security) bound by strict confidentiality and data protection agreements.
    • Parent Organization: Shared within Peterson Technology Partners, Inc. for administrative, recruitment, and operational alignment.
    • Legal Compliance: To comply with subpoenas, court orders, or governmental regulations.
    • Business Transfers: In connection with any merger, acquisition, restructuring, or sale of company assets.
    • With Consent: Whenever you explicitly authorize data sharing.
  11. Data Retention

    We retain personal data only for as long as necessary to fulfill the operational purposes outlined in this policy or required by our client contracts, unless an extended retention period is mandated by law. When data (including audio files and call transcripts) is no longer required, it is securely deleted or permanently anonymized in accordance with PTP’s data retention schedules.

    Note for Candidates screened via Enterprise Clients: When PTP processes your data as a Data Processor on behalf of a corporate client utilizing Olivia AI or Rebecca AI, please direct your rights requests directly to the respective client organization. If submitted to PTP, we will facilitate and route the request to the appropriate client controller.

  14. Automated AI Interaction & Call Disclosure

    When speaking with Olivia AI or Rebecca AI, calls are conducted using automated conversational voice technology and are recorded and transcribed. Participants are notified at the outset of the interaction. If you prefer not to proceed with an automated AI interaction, you have the option to end the session and request alternative or direct human communication through the hiring organization or PTP.

  15. Cookies and Tracking Technologies

    We use cookies, web beacons, and analytical tags on petegabi.com to analyze traffic, remember preferences, and improve user experience. You can manage or disable cookies through your browser settings.

  16. Children’s Privacy

    The Pete & Gabi platform and services are strictly intended for professional and employment-related use. We do not knowingly collect personal data from individuals under 16 (or under 13 where applicable). If we become aware of any such data, it will be deleted immediately.
